Paper Submission

 Each one of those who wish to present their scientific work at EMC’14/Tokyo should submit a full-length (4 pages) preliminary paper in a PDF file through the on-line Paper Submission System, which is available from this page. No email-attachment or hard-copy submissions will be accepted.
 There are two types of scientific sessions for EMC’14/Tokyo; "Regular Sessions" and "Organized Sessions". The Regular Sessions will consist of contributed papers only, while the Organized Sessions will be arranged by the Session Organizers. (for further information, please see here.)

Basic Procedure of Paper Submission:

1) Create a New Paper Submission Key(for both the "Regular Sessions" and "Organized Sessions")
 Prior to submitting a new paper, please create a "Paper Submission Key".
 A "Paper Submission Key" will be used to start a paper submission, and it corresponds to "1 paper submission", therefore, every time you wish to submit a paper, you must create a "Paper Submission Key".
 You can create a "Paper Submission Key" by entering an email address at the first page of the "Paper Submission System". The newly created key will be automatically sent to the address you entered, which will become the primary contact address for your paper. An identical email address can be used for creating two or more Paper Submission Keys in case an author wishes to submit multiple papers. Free email addresses such as "gmail" can be used for this purpose as well.

2) Fill in the Paper Information
 After creating a "Paper Submission Key", you can again go on into the "EMC'14 Paper Submission System" by clicking the URL link shown in the email automatically sent from the system. On the linked page, you can fill in the paper information such as "Paper Title", "Authors' Names", "Authors' Affiliations", etc.
 For Regular Session papers, you will be asked to select "2" session topics that would best match the contents of your paper for review.

3) Upload the PDF file of the Paper for Review
 After you have a "Paper ID" allotted to you paper, you should go into your "Paper Management Page" to upload your paper file (PDF) for review. In the "Paper Management Page", you can update your paper information or download the uploaded file as many times as you like, until the paper submission deadline " September 1529, 2013". You can also change the two session topics you selected at the beginning (Regular Sessions only).

4) Notification of Acceptance
 The letter of "Notification of Acceptance" will be sent to each of the contact persons by email on November 30, 2013.

5) Complete the Final Manuscript Submission and the Pre-Registration
 Each one of the accepted papers including the Organized Session papers should have a pre-registered presenter by "January 31, 2014". The presenter must be one of the co-authors. Also, the "Final Manuscript" of the accepted papers (PDF) must be uploaded in to the "Paper Management Page" by "January 31, 2014".


Paper Submission Regulations and Agreements:

  Please read the instructions below carefully and strictly follow them.

1) Prepare your paper by using one of the following templates.
Note that the papers must be in Portable Document Format (PDF).

One of the best ways to make a PDF file compatible with the IEEE Xplore from a MS-Word file is as follows; in MS-Word, save a file as a PDF with the option of "compatible with ISO 19005-1 (PDF/A)". Sometimes some figures in the PDF file may not appear properly. If so, the figures should be revised.

2) Prepare the PDF of the manuscript as required by IEEE Xplore.
 After the "Notification of Acceptance" on November 30, 2013, the authors of accepted papers must submit the final camera-ready version of their papers no later than January 31, 2014.

 The final papers must be checked by the authors themselves through a free on-line PDF checking system called "IEEE PDF eXpress®".

 IEEE PDF eXpress® will accept your source files (word, ps, etc.) and create a pdf file in accordance with the IEEE guidelines (Conversion function) or, it will check your own PDF for IEEE Xplore compatibility (PDF Check function).

3) Pre-Registration of Presenting Authors (Presenters)
 If the paper is accepted, the presenting author (presenter) must complete the Pre-Registration for EMC'14/Tokyo by paying the non-refundable registration fee (deadline: January 31, 2014), come to the symposium site, and present the paper.

4) Copyright
 If the paper is accepted, the copyright of the paper will be transferred to "The Institute of Electronics, Information and Communication Engineers" (IEICE).
*The authors retain the following rights:

(1) All proprietary rights other than copyrights.

(2) Re-use of all or part of the paper in their work.

(3) Reproduction of the paper for author's personal use or for company/institution use provided that

(a) the permission of the IEICE is obtained prior to reproduction,

(b) the source and IEICE copyright notice are indicated,and

(c) the copies per se are not offered for sale.

(4) The consent of the author (or one of the authors) be sought as a condition in

granting republication permission to others.

5) Inclusion into Archive Databases
 If the paper is accepted, it will be included in the "IEICE Proceedings Archives", the "IEICE Knowledge Discovery (I-Scover)", and the "IEEE Xplore", based on the agreement between IEICE and IEEE. "No-show (not presented)" papers, however, will not be considered to be included in such databases.
