PRESENTATION GUIDELINE


Oral Session
  1. Please do your presentation in English.
     
  2. Presentation Time for Oral Session: 15 min
    10 minutes for presentation and 5 minutes for questions/discussions
    Please be punctual and carefully follow the allotted time limits
    .
    Please stop the presentation when a time keeper tells you the end of presentation.
     
  3. When the presenter ahead of you takes the stage, please be seated in the standby seat.
     
  4. Presentation File Preparation:
    1)
    All presentations must be made in the form of a PC presentation.
    Other type of presentations will not be accepted.
    2)
    PC with windows OS and MS PowerPoint software are prepared for the presentation.
    OS:  Microsoft Windows XP Professional (Service Pack2)
    PPT:  Microsoft Office PowerPoint 2003
    PDF:  Adobe Reader 7.0
    3)
     Presentation must be a single MS PowerPoint file.
    For speakers intending to use a Meeting supplied PC, please prepare your presentation file according to 5. Notes on Preparing your Presentation Data, below.
    In particular when presentation files contain video content, it is recommended that speakers use their own PC for presentation. If you intend to present from your own PC, please read 6. Notes for Presenters using their own PC, carefully.
    4)
    A sound can be used.

  5. Notes on Preparing your Presentation Data
    1)
    Prepare your presentation on USB memory or on CD-R. Do not use CD-RW.
    2)
    Save your presentation as a PowerPoint 2000 (or later) for Windows file.
    3)
    Use only the standard fonts provided with Microsoft PowerPoint 2003 for Windows.
    This operating system is installed only standard fonts.
    If you use specific fonts (non standard installation fonts) for your presentation-file, you may embed your specific fonts by following method.
        1.
    Start PowerPoint, and then open the presentation that you want.
        2.
    On the File menu, click Save As.
        3.
    On the Tools menu in the Save As dialog box, click Save Options.
        4.
    Click to select the Embed TrueType fonts check box, and then click OK.
    4)
    Clearly label the following on the front of the USB memory stick or CD-R case.
    * Presentation Number, Main Author name and whether the data contains video content.
    5)
    Clearly indicate the following on the front of the CD-R disc itself.
    * Presentation Number and Main Author name
    6)
    The file name should indicate the [Presentation number] and the [name of the main author].
    Example: 1-1 Erik Taylor
    7)
    Confirm that your presentation file is functional by opening it in a PC other than the one you used to create it.

  6. Notes for Presenters using their own PC
    1)
    Remember to bring your own power adaptor and cables.
    2)
    Eastern Japan, including Sendai, is on 100 V, 50 Hz. The plug type in Japan is type A with two flat blades without a ground pin, the same type widely used in the USA and Canada.
    3)
    Presentation can be made from any portable PC equipped with Windows 2000 or later, or any Apple Power Macintosh.
    Your computer must be equipped with a Dsub-15 pin (mini) video output.
    (Thin notebook PCs may have nonstandard output terminals.)

    In the event one VGA table will be prepared to connect to the projector provided by the Meeting, please be sure you bring a backup CD-R or USB memory containing the presentation file.
    5)
    Presenters are responsible for determining in advance whether their notebook PC is capable of outputting video to an external display. This is especially important if the presentation contains a large amount of data and audiovisual content.
    6)
    All energy-conserving functions such as screen-savers, sleep/power-saving modes should be disabled on PCs to be used in the presentation.

  7. Presentation File Reception / Presentation Format
    1)
    All speakers should complete a run-through of the connection and operation of their equipment and preview their presentation at least before their session starts.
    This means "by 9:00am for the morning presentation" and "by 2:00pm for the afternoon presentation".
    2)
    A staff will be on hand to assist speakers.
    3)
    All speakers are asked to operate during the presentation by themselves.
    4)
    PC's and presentation data will be returned within your session venue.
    Presentation data not picked up by speakers following their presentation will be discarded by the Secretariat. And, all data installed on the Meeting supplied PC's will be deleted.

Poster Session
  1. Please prepare your poster in English.
     
  2. Individual presentation time will not be provided. Please be available in front of your poster.

  3. The poster size is 180 cm wide by 120 cm high.
    Please prepare the title of your poster, author's name and your affiliations at the top of the sheet. Recommended poster sheets are (i) or (ii).
    (i)
      ISO A1 portrait, maximum 2 sheets
    (ii)
      ISO A4 (or US letter) landscape, maximum 16 sheets (for example, you can use printouts of MS PowerPoint slides in this case).
    It is important that all the graphs and tables shown are clear and legible to avoid readers standing close to the poster and blocking the view from others.

  4. Please display your posters by yourself with the tape and pins which will be available at poster session room.
    Setup June 8 (Thu.) 10:00 ∼ 13:00
    Removal June 8 (Thu.) 16:30 ∼ 17:00
